Reporting to the Director, Finance, the Payroll and Bookkeeping Administrator provides essential payroll, bookkeeping and administration to the Alice Saddy Association, the Alice Saddy Foundation, partner agencies, and Southwest Collaborative Communities (SCC). Key responsibilities include full-cycle payroll processing, accounts payable, rent payment tracking, and charitable receipting. The role also provides backup for maintenance administration.

The Payroll and Bookkeeping Administrator must uphold the values and policies of the Alice Saddy Association while maintaining professionalism, confidentiality, and a person-centered approach in all aspects of their work.

Hours of Work: 35 hours/week
Starting Wage: $25.18 per hour, plus benefits, and opportunities for professional development and learning.

What You Will be Accountable For:

1. Alice Saddy Association (ASA) and Alice Saddy Foundation
• Process full-cycle payroll for the Alice Saddy Association including the preparation of ROEs and T2200 tax forms.
• Collect and track monthly rent and follow-up, as required.
• Provide finance-related and administrative support to all areas of the Finance Department.
• Issue charitable tax receipts for both ASA and the Alice Saddy Foundation.
• Provide backup coverage for both the Coordinator, Maintenance and Coordinator, Finance (Payable), as required.
• Process payables for the Alice Saddy Foundation, and provide administrative support for fund development.

2. Partner Agencies
• Work onsite at the out of town partner agency’s office one full day per week (8 hours), or more if required.
• Process full-cycle payroll including the preparation of ROEs.
• PassportONE submissions.
• Provide backup support for payables
• Additional duties as assigned by the Director of Finance or the partner agency’s Executive Director.

3. Southwest Collaborative Communities (SCC)
• Process accounts payable and support other bookkeeping tasks
• Additional duties related to SCC operations, as assigned.

Qualifications

What You will Bring to the Role: The ideal candidate will: • Have post-secondary education in accounting or finance, (payroll focus is an asset) and 2-3 years of work experience in a similar role. • Possess strong analytical skills and a comfort working with numbers and data • Be proficient in QuickBooks, Sage 50, Microsoft Office Suite and Google Workspace • Demonstrate strong verbal and written communication skills and have a positive and solution-focused approach. • Have good attention to detail and a high degree of accuracy, organization and time management. • Work independently yet remain an integral member of the Finance team and provide support when necessary. • Handle confidential information in an ethical and professional manner. • Be willing and able to travel and work out of town at our partner agencies one day a week, and as required. • Possess a reliable vehicle, a valid driver’s license, and insurance and a motor vehicle records check, in good standing.
