Due to continued growth, the Alice Saddy Association is currently seeking a Coordinator, Finance (Payroll) to join our team. Reporting to the Director, Finance, the Coordinator, Finance (Payroll) provides essential financial and administrative support to the Alice Saddy Association, Alice Saddy Foundation, partner agencies, and Southwest Collaborative Communities (SCC). Key responsibilities include full-cycle payroll processing, accounts payable, financial reporting, insurance and rent payment tracking, and charitable receipting.

The role also provides backup for maintenance and finance staff, supports fund development, and completes invoicing for PassportOne. The Coordinator, Finance (Payroll) must uphold the values and policies of the Alice Saddy Association while maintaining professionalism, confidentiality, and a person-centered approach in all aspects of their work.

SPECIFIC ROLE ACCOUNTABILITIES

1. Alice Saddy Association (ASA) and Alice Saddy Foundation
• Provide comprehensive support to all areas of the Finance Department.
• Complete full-cycle payroll processing for the Alice Saddy Association including the preparation and issuance of records of employment (ROEs) and T2200 tax forms.
• Collect and record monthly rent and insurance payments including follow-up on outstanding amounts.
• Monitor and maintain tenant and class C insurance programs for people supported.
• Support finance-related administrative functions, including filing of payroll and invoices.
• Provide backup coverage for both the Coordinator, Maintenance and Coordinator, Finance (Payable), as needed.
• Issue charitable tax receipts for both ASA and the Alice Saddy Foundation.
• Oversee payables for the Alice Saddy Foundation and support fund development administration

2. Partner Agencies
• Work onsite at the partner agency’s office one full day per week (8 hours), or more if required.
• Manage payroll processing and prepare invoices for submission to PassportOne.
• Provide backup support for payables and carry out additional duties as assigned by the Director of Finance or the partner agency’s Executive Director.

3. Southwest Collaborative Communities (SCC)
• Complete accounts payable processing for SCC.
• Perform additional duties related to SCC operations as assigned.

This position is full time (35 hours per week), permanent, and pays a starting wage of $25.18 per hour, in office, plus benefits, and opportunities for professional development and learning.

Qualifications

Qualifications: The ideal candidate will have post-secondary education in accounting or finance, with a focus on payroll, and 3 to 5 years of experience in a similar role. Experience in the human services sector is considered an asset. They will demonstrate a high level of professionalism and the ability to maintain strict confidentiality related to employees, individuals supported, and organizational operations. With strong analytical skills and a comfort working with numbers and data, the successful candidate will also possess excellent verbal and written communication abilities. A keen eye for detail, along with proven organizational and time management skills, will support success in managing multiple priorities in a fast-paced environment. The ideal candidate is self-directed, adaptable, and demonstrates initiative, with a positive and solution-focused approach. Proficiency in QuickBooks, Sage 50, and Microsoft Office programs (Word, Excel, PowerPoint) is essential. and due to the out of town work the ideal candidate will have a reliable vehicle, a valid driver’s license, insurance, and a motor vehicle records check, in good standing and willingness to travel weekly out of town to partner agencies.
